Privacy policy

1. Who we are

Policy Place is a business of Team Invictus Services Inc. ("we", "us"), located at 302-8128 128 St, Surrey, BC V3W 1R1. We are responsible for personal information under our control and follow Canada’s Personal Information Protection and Electronic Documents Act (PIPEDA) and applicable provincial privacy laws, including British Columbia’s and Alberta’s Personal Information Protection Act.

2. Information we collect

• Contact details — name, phone, email, address.
• Information for quotes and applications — date of birth, travel dates and destinations, coverage choices, and, for some products, health, lifestyle, employment, income and beneficiary information.
• Identity information — where required by insurers or anti-money-laundering rules.
• Website information — what you enter in our quote tool and forms, and technical data such as IP address, browser and pages visited.

We collect information directly from you, and — with your consent — from insurers and others involved in arranging or servicing your coverage.

3. How we use it

• To give you quotes, advice and recommendations.
• To apply for, arrange and service insurance and savings products, and to help with claims.
• To keep records required by insurance regulators and the law.
• To contact you about your request, your policies and renewals.
• With your consent, to send you useful information and offers. You can unsubscribe at any time.
• To protect our website from misuse and to improve our services.

4. Consent

By using our forms or quote tool and ticking the consent box, you agree to the collection and use of your information as described here. For sensitive information such as health details, we obtain your express consent, usually through the insurer’s application. You may withdraw consent at any time, subject to legal or contractual restrictions; this may affect our ability to provide a service.

We follow Canada’s Anti-Spam Legislation (CASL): every marketing email includes a way to unsubscribe.

5. Who we share it with

• Insurers and managing general agencies (MGAs) — to obtain quotes, submit applications and service your policies.
• Service providers who help us operate, under contracts that require them to protect your information, including: our client management system (Invictus CRM), which is hosted on Google Cloud; our email delivery provider; and our website hosting.
• Regulators and authorities — when required by law.

We never sell your personal information.

6. Storage outside Canada

Some of our service providers store or process information outside Canada, including in the United States. When this happens, your information may be accessible to courts, law enforcement and national security authorities of that country. We use providers with strong security practices and contracts that protect your information.

7. Cookies and advertising tools

Our website uses essential cookies and similar technologies. We also use the Meta (Facebook) Pixel to measure the effectiveness of our advertising, and our pages load fonts from Google. These services may receive technical information such as your IP address and browser details. You can control cookies in your browser and manage ad preferences in your Meta account settings.

8. Online quote tool

When you request a quote, the details you enter (for example, ages, dates and coverage choices) and your contact information are saved to our client management system so an advisor can follow up. Prices are calculated on our secure server. If you click "Buy online", you go to the insurer’s own website, which has its own privacy policy.

9. How long we keep it

We keep personal information only as long as needed for the purposes above, and for the periods required by insurance regulations and law. We then securely delete or anonymize it.

10. How we protect it

We use physical, organizational and technical safeguards — including encryption in transit, access controls, multi-factor authentication and staff confidentiality obligations — appropriate to the sensitivity of the information.

11. Your rights

You may ask to access the personal information we hold about you, ask us to correct it, or withdraw consent. Contact our Privacy Officer at info@policyplace.ca. We will respond within the time required by law.

If you are not satisfied with our response, you may contact the Office of the Privacy Commissioner of Canada or, in British Columbia, the Office of the Information and Privacy Commissioner for BC.

12. Changes to this policy

We may update this policy from time to time. The latest version is always on this page, with its effective date.
